iPad Rental for Events: Wi-Fi vs Cellular, and Which Model to Book

Booking an iPad for an event sounds like a simple line item until you're staring at four screen sizes and two connectivity options per size, with no obvious default. In practice, the decision comes down to two questions: what job is the device doing, and can it rely on the venue's own network? Both have fairly clear answers once you know what to look for.

Match the screen size to the job, not the budget

The iPad Mini and the 9.7-inch and 10.2-inch models are built for compact, one-handed use: lead capture at a booth, self-service surveys, digital menus, anywhere a guest or staff member is holding the device rather than reading it from a stand. They're the right call for the majority of exhibition and registration use cases.

The iPad Pro earns its larger screen and sharper resolution when the device is doing the talking rather than being handled: presentations, interactive kiosks mounted on a stand, anything where a small crowd is looking at the screen rather than one person interacting with it directly. If you're not sure which category your use case falls into, default to the smaller models; they're easier to hand off between staff and less conspicuous at a busy booth.

Wi-Fi vs Wi-Fi + Cellular: when the extra cost is worth it

Wi-Fi-only models are the right default when you're confident in the venue's network. A hotel ballroom or a conference room with dedicated event Wi-Fi is usually fine. The risk is that venue Wi-Fi reliability varies block by block even within the same building, and a dead zone at your registration desk is a bad place to discover that on the morning of the event.

Wi-Fi + Cellular is worth the extra cost whenever the device needs to work outdoors, at a venue with unreliable or unconfirmed Wi-Fi, or somewhere with no network at all: a roadshow stop in a mall atrium, an outdoor activation, a pop-up in a space that hasn't been tested. A data SIM comes pre-installed and tested before your event, so there's nothing to configure on-site.

As a rule of thumb: if you've personally tested the venue's Wi-Fi at the times and locations your devices will actually sit, Wi-Fi-only is fine. If you haven't, or the location is new, pay for Cellular on at least a couple of units as backup.

What's included so you're not troubleshooting on event day

Every unit ships in a protective case, wiped and factory-reset between rentals, so there's no previous renter's data or app clutter to deal with. Stands, keyboards, and Apple Pencils are available as add-ons on request. They're worth requesting upfront if you know the use case (a stand for a kiosk, a keyboard for a staff-facing form) rather than discovering the need on-site.

Because the case and reset process are standard across the fleet, the main thing worth flagging in your enquiry isn't the hardware itself but the setup: if devices need a specific app locked as the only usable screen (common for lead capture or surveys), or a particular home screen configuration, say so early so it's tested before delivery rather than configured live at your venue.

Mixing models in one enquiry

You don't need to standardise on one model across an event. A common setup for a mid-size exhibition booth is a few 9.7-inch or 10.2-inch units on Wi-Fi for lead capture at the counter, plus one iPad Pro on a stand running a looping product demo. Do I need Cellular if the venue says they provide Wi-Fi?

Not necessarily, but “the venue provides Wi-Fi” and “the Wi-Fi is reliable at your exact booth location” aren't the same thing. If you can test it beforehand, Wi-Fi-only is usually fine. If you can't, Cellular on at least a portion of your devices is the safer call, especially for anything client-facing like lead capture.

Can the iPads be locked to a single app?
